AI Use & Transparency Policy

Effective date: 23 June 2026·Version: 1.0·Governing law: Delaware, USA

This policy explains how NextGen Intelligence uses AI in its Products, what commitments we make about AI safety and transparency, and what rights you have in relation to AI-generated outputs.

1. Our AI principles

NextGen Intelligence is committed to building and deploying AI responsibly. Our core principles are:

  • Human oversight: AI assists; humans decide. We keep humans in the loop on high-stakes outputs.
  • Transparency: We tell you when AI is involved and what it can and cannot do.
  • Data protection: Your data is never used to train AI models.
  • Safety: We implement guardrails, evaluation, and fallback behaviour.
  • Fairness: We work to identify and mitigate bias in AI outputs.
  • Accountability: We take responsibility for the AI features we build and deploy.

2. How we use AI

Our Products use AI in the following ways:

  • Generating text, analysis, and recommendations in response to user inputs.
  • Retrieving and synthesising information from connected data sources.
  • Automating routine tasks and workflows.
  • Providing intelligent search and discovery.
  • Detecting anomalies and patterns in data.

The specific AI features available in each Product are described in the Product documentation.

3. AI model providers

We use third-party AI models to power AI features in our Products. Our current AI model providers are:

  • Anthropic — Claude models, used for text generation, analysis, and reasoning tasks.
  • OpenAI — GPT models, used for text generation, analysis, and reasoning tasks.

WE DO NOT USE YOUR DATA TO TRAIN AI MODELS.

  • Your inputs and AI Outputs are processed by AI model providers solely to generate the response you requested.
  • Your data is not retained by AI model providers beyond what is necessary to process your request.
  • Your data is not used to train, fine-tune, or evaluate AI models by us or our AI model providers.
  • These commitments are contractually enforced against our AI model providers.

4. AI Output quality and limitations

AI Outputs are generated by AI models and have inherent limitations:

  • AI Outputs may be inaccurate, incomplete, outdated, or inappropriate.
  • AI models can produce plausible-sounding but incorrect information ("hallucinations").
  • AI Outputs reflect patterns in training data and may exhibit biases.
  • AI models do not have real-time information unless connected to live data sources.
  • AI Outputs are not a substitute for professional advice (legal, medical, financial, or otherwise).

You must evaluate AI Outputs before relying on them, particularly for high-stakes decisions.

5. Human oversight

We design our Products to keep humans in the loop:

  • AI Outputs are presented as suggestions or drafts, not final decisions.
  • We do not make solely automated decisions that produce legal or similarly significant effects about individuals.
  • Where AI assists a decision, a human remains the decision-maker.
  • High-stakes AI features include explicit review steps and human confirmation.

You may request human review of any AI-assisted output that affects you. Contact us at [email protected].

6. Guardrails and safety

We implement the following safety measures:

  • Input and output filtering to detect and block harmful content.
  • Evaluation frameworks to measure AI Output quality and safety.
  • Bias monitoring and mitigation processes.
  • Fallback behaviour when AI confidence is low or outputs are potentially harmful.
  • Regular review of AI feature performance and safety.
  • Incident response procedures for AI-related issues.

7. Transparency disclosures

We disclose AI involvement in our Products as follows:

  • AI-generated content is labelled or described as such in the Product interface.
  • Product documentation describes which features use AI and how.
  • This policy is publicly available and linked from our Products.
  • We publish updates to this policy when our AI practices materially change.

8. Your rights regarding AI

  • Right to explanation: You may request an explanation of how an AI-assisted decision was reached. Contact [email protected].
  • Right to human review: You may request human review of any AI-assisted output that affects you.
  • Right to opt out: Where technically feasible, you may opt out of specific AI features. Contact [email protected].
  • Right to correct: You may provide feedback on AI Outputs and request corrections where the output affects your interests.
  • GDPR Article 22: Where you are subject to GDPR, you have the right not to be subject to solely automated decision-making that produces legal or similarly significant effects.

9. Responsible AI development

Our engineering and product teams follow responsible AI development practices:

  • Pre-deployment evaluation of AI features for quality, safety, and bias.
  • Red-teaming and adversarial testing of AI features.
  • Ongoing monitoring of AI feature performance in production.
  • Regular review of AI ethics and safety standards.
  • Training for team members who build and deploy AI features.

10. Reporting AI concerns

If you encounter AI Outputs that are harmful, biased, or otherwise concerning, please report them to [email protected]. We take all reports seriously and will investigate and respond appropriately.

11. Changes to this policy

We may update this policy as our AI practices evolve. Material changes will be notified to active users by email or in-product notice. The “Effective date” above reflects the current version.
